Terms and Conditions
Relating to all qualifications, courses and events.
These terms are important for us and for you, if you have any questions, give us a shout!
1. Payment Terms
Our standard payment terms are that payment is taken at booking by direct bank transfer unless otherwise agreed in writing.
If payment by invoice has been agreed, payment must be made within 30 days of the invoice date or before the Qualification, Course or Event start date, whichever is sooner.
Where a deposit is required, a 25% deposit of the initial quote must be paid before the Qualification, Course or Event start date. Deposits are non-refundable in the event of cancellation.
The client, course commissioner or person making the booking is responsible for ensuring payment is made in accordance with these terms.
2. Bookings
Bookings may be made by email, via the Frontline Training website, or by phone. Telephone bookings may need to be confirmed in writing.
Please quote purchase order numbers where applicable.
Where a booking is made on behalf of a business, organisation, school, charity, community group, or other third party, the person making the booking will be treated as the course commissioner unless otherwise agreed in writing.
The course commissioner is responsible for ensuring that all booking details are accurate, including course dates, venue details, learner numbers, course type and any specific requirements discussed before delivery.
3. Course Commissioner Responsibilities
Where training is booked on behalf of learners, staff, volunteers, contractors or other delegates, the course commissioner is responsible for ensuring that learners receive all relevant course information before the course takes place.
This includes start and finish times, venue details, attendance requirements, practical participation requirements, assessment requirements, clothing or footwear requirements where applicable, and any other relevant joining instructions.
The course commissioner is also responsible for ensuring learners are made aware of Frontline Training’s Delegate Requirements before the course start date.

4. Transfers
Should you need to transfer to another Frontline Training Qualification, Course or Event date, the following charges will apply:
- First transfer, made more than four weeks before the start date – no charge
- Two to four weeks’ notice – 25% of the quoted fee
- Less than two weeks’ notice – 50% of the quoted fee
All transfers must be taken within 3 months of the original date.
Replacement learners may be accepted where suitable. Where possible, we require at least 24 hours’ notice before the course start time. The course commissioner is responsible for ensuring any replacement learner is suitable for the course and has received the relevant course information.
5. Cancellations
If you cancel your Qualification, Course or Event and are unable to transfer your booking to another date at the time of cancellation, the following charges will apply:
- More than four weeks before the start date – 10% of the quoted fee
- Two to four weeks before the start date – 50% of the quoted fee
- Less than two weeks before the start date – full quoted fee
Cancellations must be made in writing and received by Frontline Training by the relevant deadline.
Where a Qualification, Course or Event is cancelled because the client, course commissioner, venue or learners have not met the required course, delegate or venue requirements, the full quoted fee may remain payable.
6. Non-Attendance
If a learner does not attend a Qualification, Course or Event, and Frontline Training has not previously been informed, the full fee remains payable.
Where training has been booked by a course commissioner, it is the course commissioner’s responsibility to ensure that learners are aware of the date, time, location and attendance requirements.
Failure by a learner to attend does not remove the client’s responsibility to pay the agreed fee.
7. Late Arrivals and Missed Sessions
Frontline Training operates a lateness and absence policy.
It is the responsibility of the course commissioner to ensure that learners are informed of the course start time and understand the importance of arriving on time.
If a learner arrives late for a Qualification or Course, or is absent from any part of the training, Frontline Training reserves the right to refuse to accept the learner for training if we feel they will gain insufficient knowledge or skill in the time remaining.
In all such cases, the full fee remains payable.
For regulated qualifications, attendance at all required sessions is mandatory. Late arrival, missed sessions or failure to participate in required elements of the course may result in the learner being unable to complete the course, sit assessments or receive certification.
8. Venue Requirements
For on-site training, the client and/or course commissioner is responsible for ensuring that the training venue is suitable, safe, accessible and appropriate for the type of training being delivered.
The venue must meet Frontline Training’s Venue Requirements, including any course-specific requirements for practical training, assessments, group activities or use of training equipment.

Frontline Training reserves the right to delay, transfer, cancel or refuse to deliver training where, in the reasonable opinion of the trainer, the venue does not meet the required standards, presents a health and safety concern, prevents effective delivery of the course, or does not allow learners to complete the required practical activities, assessments or learning outcomes.
Where training is delayed, transferred, cancelled or refused due to the venue not meeting the required standards, the client will remain liable for the full quoted fee. In such circumstances, no refund will be issued and any additional costs incurred by Frontline Training may also be charged to the client.
Clients and course commissioners are strongly encouraged to check the Venue Requirements before booking and again before the course start date. If there is any uncertainty about whether a venue is suitable, Frontline Training should be contacted in advance.
9. Delegate Requirements and Learner Suitability
It is the responsibility of the course commissioner and/or employer to ensure that learners are suitable for the Qualification or Course they are attending.
This includes ensuring that learners can attend the full course, arrive on time, take part in practical activities where required, complete assessments where applicable, and meet any course entry or requalification requirements.
Some courses, including first aid, manual handling, fire safety and other practical courses, may require learners to take part in physical or practical activities. Learners must be able to meet the required learning outcomes and assessment criteria where applicable.
We welcome learners with disabilities and will consider reasonable adjustments where appropriate. The course commissioner should notify Frontline Training in advance of any learner who may require additional support, reasonable adjustments or specific arrangements.
Reasonable adjustments must be discussed before the course takes place so that appropriate arrangements can be considered. Learners must still be able to meet the required learning outcomes, assessment criteria and qualification standards where applicable.
10. Requalification Courses
To be eligible to attend a two-day First Aid at Work Requalification course, learners must hold a valid First Aid at Work certificate from a regulated training provider.
It is the responsibility of the course commissioner to ensure learners booked onto a Requalification course meet the eligibility requirements.
If a learner does not meet the required eligibility criteria, Frontline Training reserves the right to refuse the learner’s place on the course. In such cases, the full fee may remain payable.
11. Assessment and Certification
Where a Qualification or Course includes assessment, learners must meet the required assessment criteria to successfully complete the course.
Certification may be dependent on full attendance, successful completion of assessments, meeting Awarding Organisation requirements and completion of any required course paperwork.
Frontline Training cannot guarantee certification where a learner does not meet the required standard, misses part of the course, fails to complete required assessments or does not meet the relevant qualification requirements.
Where a learner is referred, they may be offered a reassessment where this is permitted by the course or qualification rules. Any further training, coaching, reassessment, resubmission or additional support may be charged for.
12. Behaviour and Conduct
Frontline Training expects all learners, clients, course commissioners and venue representatives to behave respectfully and appropriately during all Qualifications, Courses and Events.
Frontline Training reserves the right to remove or refuse to train any learner whose behaviour is disruptive, unsafe, discriminatory, abusive or otherwise inappropriate.
Where a learner is removed or refused training due to behaviour or conduct, the full fee remains payable.
13. Unforeseen Circumstances
On occasion, unforeseen circumstances may require Frontline Training to cancel, postpone or rearrange a Qualification, Course or Event.
In such circumstances, you will be given as much notice as possible and either a free transfer to another suitable date or a full refund of fees paid.
Frontline Training will not be responsible for any additional costs incurred by the client, course commissioner, venue, learners or any other party as a result of cancellation or postponement due to unforeseen circumstances.
14. VAT
Frontline Training is not currently VAT registered. Therefore, no VAT is charged on our Qualification, Course or Event fees unless otherwise stated.
15. Social Media and Marketing
Frontline Training may use social media to promote our work.
If you do not wish for us to use your company name, photographs from Qualifications, Courses or Events, or feedback from delegates for marketing purposes, please contact us before the course start date.
